The challenge

Lawn-care and field-service owners spend their evenings doing paperwork instead of growing their business — building routes by hand, sending invoices one by one, and manually reconciling which customers have actually paid. The admin load caps how many properties a crew can service and how fast the business can scale.

Our solution

Polyuno built RouteLawn, an operations platform that handles scheduling, route planning, invoicing, and an automated payment-detection pipeline that reconciles incoming payments to the right job without manual data entry. Owners get a live view of who's been serviced, who's been billed, and who has paid.

The challenge

The economics of a field-service business are deceptively simple: more properties serviced means more revenue. But what actually caps growth isn't the crew's capacity to mow lawns — it's the owner's capacity to do the paperwork that surrounds every job. For a typical lawn-care operator, that means hand-building routes each week, generating and sending invoices one customer at a time, and then the worst part: sitting down on a weekend to manually match a pile of incoming payments against the list of jobs to figure out who has actually paid and who needs a reminder.

This reconciliation work is slow, error-prone, and it scales linearly with the size of the business. The more customers you take on, the more hours you lose to bookkeeping — which is exactly backwards from how a growing business should work. Worse, the delay between finishing a job, sending the invoice, and confirming payment stretches out the cash-flow cycle, which is the lifeblood of a small operation that has payroll and equipment costs to cover.

RouteLawn came to Polyuno to break that ceiling. The goal was to take the entire back office — scheduling, routing, billing, and payment reconciliation — off the owner's plate so the business could grow on the strength of its crews, not the limits of its paperwork.

Our approach

We approached RouteLawn as an operations problem first and a software problem second. Before writing code, we traced the full lifecycle of a single job: scheduled, serviced, invoiced, paid, reconciled. The most expensive, most hated step in that chain was reconciliation, so that's where we focused our highest-leverage work.

The breakthrough was an automated payment-detection pipeline. Rather than asking owners to manually match payments to jobs, we built a system that ingests incoming payment data and intelligently associates each payment with the correct customer and outstanding invoice — handling the messy real-world cases where amounts, timing, and references don't line up perfectly. This is the kind of custom software problem that off-the-shelf tools handle poorly, because it depends on the specific patterns of how home-service customers actually pay.

Around that core, we built the rest of the operations layer to be genuinely simple. Owners and crews are not software people, and they're often using the app from a truck between jobs. Every screen had to be fast, obvious, and usable on a phone.

The technology

RouteLawn is built on Next.js, TypeScript, and Node.js, with PostgreSQL as the system of record for jobs, customers, and payment history. Stripe handles secure payment processing, and the automated payment-detection pipeline sits on top of it to do the reconciliation work that owners used to do by hand. The architecture is designed to stay reliable as an operator grows from a handful of customers to hundreds.
